Privacy Policy

Pivot Company, Limited (hereinafter referred to as "the Company") establishes the following Privacy Policy regarding the handling of personal information on the website operated by the Company (hereinafter referred to as "the Site"), in compliance with the Act on the Protection of Personal Information of Japan and other applicable laws and regulations.

1. Basic Policy

The Company recognizes the responsibility entrusted to us when handling personal information and strives to acquire, use, and manage such information appropriately. We continuously improve our protection framework through the implementation of safety management measures.

2. Personal Information We Collect

The Company collects the following personal information through the Site:

  • Information you enter in our inquiry forms: name, company name, email address, website address, a description of your product or service, the market you are considering, your current stage of overseas business, whether you are willing to share documents under an NDA, and the content of your inquiry
  • Information automatically collected when you use the Site (IP address, browser type, access date and time, and referrer URL)

3. Purposes of Use

The Company uses the personal information collected for the following purposes:

  • Responding to inquiries and related communications
  • Providing the Company's services and performing contractual obligations
  • Improving service quality and developing new services
  • Maintaining, operating, and securing the Site
  • Complying with laws, regulations, and requests from public authorities

We do not use inquiry information to send newsletters or marketing email. We contact you about your inquiry and, where a business relationship follows, about that relationship.

4. Disclosure to Third Parties

The Company will not disclose personal information to third parties without your prior consent, except in the following cases:

  • When required by law
  • When necessary to protect the life, body, or property of a person and obtaining your consent is difficult
  • When particularly necessary for improving public health or promoting the sound development of children
  • When cooperation with a national or local government agency, or a person entrusted by such agency, is necessary for the performance of statutory duties

5. Service Providers and Transfers Outside Japan

We use outside service providers to host the Site and to deliver and store inquiry emails. Our providers are Vercel Inc. (website hosting) and Plus Five Five, Inc., operating as Resend (delivery of inquiry emails), both United States companies, and Google Workspace, provided by Google (where inquiry emails are received and stored). Personal information you submit is transferred to and handled in the United States, and may also be handled in other countries where these providers or their subcontractors operate data centers. The United States has no single comprehensive privacy law equivalent to Japan's Act on the Protection of Personal Information; rules differ by sector and by state. Information on the United States system is published by Japan's Personal Information Protection Commission. We choose providers that commit by contract to appropriate security measures, and we supervise them as required.

6. Cookies, Analytics, and Bot Protection

The public pages of the Site do not set cookies and do not use analytics or advertising tags. If we introduce them, we will first list the tool, the information collected and how to turn it off in this Policy. Fonts and other page resources are served from the Site itself. To protect our forms from automated abuse, we check the time taken to complete a form and limit the number of submissions from one IP address.

7. Security Measures

The Company implements organizational, personnel, physical, and technical measures necessary and appropriate to prevent leakage, loss, or damage to personal information and to otherwise manage personal information safely. We limit access to inquiry information to the staff who need it and send data over encrypted connections.

8. Retention

We keep inquiry information for three years after our last contact with you, and then delete it, unless a law requires us to keep it longer. Records of a client relationship are kept for the life of the contract and for three years after it ends, unless a law requires longer.

9. Requests for Disclosure, Correction, and Suspension of Use, and Complaints

You may request disclosure, correction, addition, deletion, suspension of use, or suspension of provision to third parties of your personal information. To make a request or a complaint about your personal information, email info@pivotglobalsolutions.com or write to the address below. We will confirm your identity and respond without delay as the law requires. We do not charge a fee.

Our staff work from Tokyo and from Knoxville, Tennessee, United States. Pivot Company, Limited is the only operating entity; the Knoxville location is not a separate company or branch office.

11. Revisions to This Policy

The Company may revise this Policy in response to changes in laws and regulations, social conditions, or the content of our services. The revised Policy takes effect from the time it is posted on the Site.
